Lawful basis for processing the information

General Data Protection Regulation Article 6(1)(e) – processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.  

Our additional legal basis for processing your special category information is: 

The processing is necessary for the purposes of preventive or occupational medicine, for the assessment of the working capacity of the employee, medical diagnosis, the provision of health or social care or treatment or the management of health or social care systems and services on the basis of domestic law or pursuant to contract with a health professional and subject to the conditions and safeguards.

How we collect information

There are a number of different ways that we collect your personal information:

  • We could collect your personal information through a digital form that you complete provided through our partner organisation, Clubspark: Grow Your Sport. 
  • We may collect your personal information directly from you - for example, through the booking of a resource (e.g. a court or pitch), booking of a course or session (e.g. coaching or group run), purchasing or renewing membership or booking an activity at an event.
  • We may also collect your personal information from someone else acting on your behalf – for example, where a parent or guardian has purchased a membership or course for a child. On occasion, a venue/coach may upload your personal information directly, i.e. when first setting up an account on Clubspark.
  • What information is collected.

What type of information is collected

  • Your user ID (where you create a Clubspark account);
  • Contact details: name, title, addresses, telephone numbers and e-mail addresses;
  • Date of birth;
  • Gender;
  • Password;
  • Medical information.

How we use the information provided

We will use your information in order to allow you use of our Tennis sites programme covering booking access and membership fees requirement to enable hire of courts at: 

  • Kidwells Park
  • Desborough Park 
  • Alexandra Gardens

Who we may share your information with

Personal information collected and processed by Clubspark may be shared where necessary with the following recipients or categories of recipients:

  • any member of our group (including our subsidiaries), employees, suppliers or subcontractors where reasonably necessary for the purposes set out in this Privacy Notice;
  • if we are involved in a merger, acquisition, or sale of all or a portion of its assets, you will be notified via, account message and/or a prominent notice on our website of any change in ownership or uses of this information, as well as any choices you may have regarding this information;
  • your authorised agent or someone acting on your behalf, for example a parent or guardian who has purchased membership, coaching course or programmes for you as their child;
  • competition organisers and officials involved in competitions you are taking part in;
  • your club, coach, run leader for the purposes of membership, booking a court, pitch or other resource; coaching programme, session or camp;
  • our suppliers, where they process data on our behalf. For example, payment providers and e-mail providers.
  • our clients. For example, national governing bodies where we have a contractual commitment who will utilise the data in pursuit of their legitimate interests.
  • we may disclose your information to the extent that we are required to do so by law (which may include government bodies and law enforcement agencies); in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention).

How long we store your information

We will retain your information for 6 years from the last time you utilize our services.
