How do we collect information
Personal data is provided by the customer either by post, telephone, in person or electronically by email or via forms on the Council’s website. Information may also be provided to us from HM Land Registry.
For example: Personal data is supplied by service users or by completing ‘insert what forms are filled in or by completing our online forms on our website’ or by third parties such Letting Agents, Landlords and other Councils.
What type of information is collected
Name, address, contact details and nature of enquiry, for example what issue has been reported and details of what has been discussed.
How we use the information provided
We use the information to resolve issues related to the parks and countryside team service, for example to fulfil maintenance and enforcement responsibilities. Information is held to inform any potential historical research undertaken in investigating public rights of way claims, and adopted highway boundary enquiries or disputes.

Members of the Parks and Countryside team have access to this information.

Depending on the nature of the enquiry information may be shared with the following:
- Royal Borough Internal departments
- Commissioning team
- Customer Services Centre
- Arboricultural team
- Risk and Insurance team
- Property Services team
- Planning and Planning Enforcement teams
- External companies
- Volker Highways
- Project Centre.
On occasion other external contractors are given contact details in order to contact land owners in connection with planned schemes, however details are not automatically provided and express permission from the data owner is sought before details are given.
