Lawful basis for processing the information

General Data Protection Regulation Article 6(1)(e) processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller.

How we collect information

When you contact us by:

  • Phone 
  • Email
  • Letter
  • In person
  • Audio recordings when investigating a noise complaint
  • When we receive referrals from other organisations (including our partner organisations AFC, Optalis, ISS, Volker Highways and Ubaser).

Categories of information collected

  • Name, address, email, telephone number.
  • Health data. For example, should you tell us about an illness  relevant to a complaint.
  • Location data. For example, when you tell us about an incident you have witnessed and from audio recordings containing GPS data. 
  • Audio recordings received whilst investigating a noise complaint including audio recordings made using The Noise App. 

How we use the information provided

We use your personal information to deliver Environmental Protection services and concerns, such as investigating complaints including noise complaints, anti-social behaviour and investigating criminal offences.

Depending on the nature of the processing required, we may share your personal information with the following partner organisations of RBWM:

  • Inside Housing Solutions (IHS) – external Out of Hours Service

How long we store your information

Records are stored electronically and kept on the Uniform computer system indefinitely. Paper copies are destroyed after four years. Audio recordings are kept until a case is concluded.
